Board Meeting – October 26, 2011

Board Members Present – Murali Sitaraman, Scott Templeton, Lee Crandall, Susan Zhang and Stephanie O’Brien

President Murali Sitaraman called the Board Meeting to order at 7:10pm in the Country Walk Clubhouse.

– Susan Zhang presented the 2011 Account Balances and Year-to-Date Income and Expenditures as of October 26, 2011.
– Rental fees for the CW clubhouse totaled $175.00 this month
– Minutes from the September Board meetings were approved pending minor revision.

New Business-

– Landscape Maintenance
-A twelve-month contract was signed with Southern Dreamscapes.
Board reviewed several areas that they would like the crew to focus on over the next few weeks
-There continues to be a problem with residents from CW and/or Clemson Downs dumping yard waste in Common areas in CW- a sign was put up to deter dumping, a board member will contact Clemson Downs regarding the issue
-A neighborhood work day was discussed including potential incentives to encourage participation

– Halloween
-Rocco and another Clemson Police Officer will be working the CW entrance from 5:30 – 8:30 or 9:00pm (depending on traffic) Halloween evening
-Some children may be soliciting for UNICEF donation on Sunday evening

– Landscape Improvements
-The Board reviewed the plan from CMHP design
-The Board would like the Landscape Committee to prioritize the work to be completed. Areas to be addressed include- painting pergola and clubhouse shutters, repairing pergola roof, improve lighting on entrance sign, removal of additional trees & plants, and installation of plants, ground cover and irrigation.
-Scott made a motion to authorize an initial $10,000.00 for the Landscape Committee to use to address the re-landscaping of the CW entrance pending approval from Murali of individual bids. Lee seconded the motion; all were in favor.
-The landscape committee will be required to obtain three bids for all work exceeding $1,000.00. CW has several providers that are already approved to work in the neighborhood due to existing relationships and positive work history with CW.

– Berkley Drive Cleanup
-The Board has received two bids for the clean up of this area.
Scott made a motion to approve the bid from James Bevis and to authorize him to begin work on the project as soon as possible. Stephanie seconded the motion; all were in favor. James will need half of the total amount to begin work. Scott will be the contact person for this project.

– King Asphalt
Board received a Bid to address four areas- parking lot to the right of the club house, left of the club house and front drive, play ground parking lot and patches on the front drive. The bid includes options for filling cracks and seal coating. Due to the expense, additional bids will be requested from other companies.

– Pool
The baby pool repairs were completed for a total of $1,350.00

President Murali Sitaraman thanked individual residents who had assisted with the care and maintenance of the Country Walk Subdivision-
Tommi Jones facilitated the repaving of Country Walk Lane.
Kristi Green organized the Country Walk Swim team for the 2011 summer season.
Kim Wanner managed finances for the CW Swim Team for another season.
